NEW APPROACH TO FAVOUR RESPECTFUL AND CIVIL RELATIONS.

Dear Cookshire-Eaton residents,

It is with the goal in mind to maintain and build a respectful and civil relationship between community members and municipal staff that we have revised our approach relating to management of incoming telephone calls. Indeed, Cookshire-Eaton elected officials and city hall staff have faced multiple unpleasant experiences during the last few months, some of which included verbal and emotional outburst. These outbursts, which can be quite impetuous, can cause prejudice to the emotional integrity of those who experience them. The latter being victims of this type of language face the consequences of such experiences that can seriously undermine their motivation and appreciation of their work environment.

To mitigate this situations, two new voicemail messages have been developed and recorded to replace those currently on the line. These messages will be integrated in the coming days. They provide a welcome to the Ville de Cookshire-Eaton and to its Public Works Department. Citizens are also advised that the employees of the Ville de Cookshire-Eaton strive to answer requests from residents and service users with politeness and courtesy. However, should the conversation turn unpleasant, the employee can advise the person on the call that he or she reserves the right to end the call immediately, while taking care to mention that citizens can forward their request or complaint by e-mail. This e-mail address will not be provided in written form, but exclusively in verbal form before the end of the telephone conversation with the citizen.

In addition, telephone dispatching system will be streamlined as callers will need to dial the extension number of the specific staff member they want to contact or dial “0” to be dispatched to the appropriate department.

May we remind you that Cookshire-Eaton personnel remains intend to the best of its ability to answer all your questions and requests.

Yours truly,
The Staff at Ville de Cookshire-Eaton City Hall
